Managing Your P-Card Subscription

View billing history, update payment method, download invoices for procurement records, and manage your monthly subscription.
Managing your CaseFlow subscription is designed to be as simple as possible for government procurement workflows. Everything you need is accessible from your account dashboard.
Accessing Billing Settings
Log in to your CaseFlow account and navigate to Settings > Billing (or Account > Billing, depending on your interface). From this page, you can view your subscription status, payment method, billing history, and invoices.
Viewing Your Subscription Status
The billing dashboard shows:
Current plan: Municipal ($249/mo with 5 users) or State ($249/mo with 10 users)
Billing cycle: Monthly on the same day you initially subscribed
Next charge date and amount
Current user count (e.g., "3 of 5 users")
Payment method on file (last 4 digits of your P-card)
This gives you a quick overview of your account status and upcoming charges.
Updating Your Payment Method
If your P-card expires or you need to switch to a different card:
Go to Settings > Billing
Click "Update Payment Method"
Enter new card details
Save changes
The new card will be used for all future charges.
Downloading Invoices
Every payment generates an itemized invoice suitable for government procurement records. To download invoices:
Go to Settings > Billing
Scroll to "Billing History"
Click "Download Invoice" next to any past payment
Invoices include:
Invoice number (unique identifier for your records)
Charge date and amount
Itemized breakdown (subscription fee, user count, any add-ons)
Payment method (last 4 digits of P-card)
CaseFlow's billing address and tax ID for your procurement office
Canceling Your Subscription
You can cancel your subscription at any time:
Settings > Billing
Click "Cancel Subscription"
Confirm cancellation
Your access continues through the end of your current billing period. After cancellation, you have 30 days to export your data before it's permanently deleted.
